How a Quality Fuel Management System Can Save You Money

From a daily operations perspective, fuel can be one the highest expenses of any fleet, regardless of size. And the current high prices of gasoline and diesel make proper fuel management issue even more critical. The key is deploying a properly configured and quality fuel management solution. A quality fuel management platform provides 4 key functions:

Identify - Manually or automatically identify drivers and vehicles, reducing fuel theft and reporting misallocation. This function ensures that the right drivers and putting fuel into company or organizationally owned vehicles. There are simple (and less secure) methods up to sophisticated (more secure) methods for identifying drivers and vehicles.

Full-featured fuel management must include a robust and powerful reporting system. With such, a fleet manager can identify policy violations, training needs, vehicle service needs, and vehicle replacement needs.

Standard fuel management platforms are a mix of hardware and software. The hardware is usually in the form of a fuel controller or kiosk at the fueling island. This hardware provides the input for the identification and authorization and controls the dispensing of fuel for the measurement. Finally, it captures the fueling data, both vehicles and drivers as well as the fuel transaction, including the fuel type, amount dispensed, and the date and time of the fueling.  The software platform is designed mainly as a “back office” platform for the aggregate reporting and troubleshooting of fueling and fueling issues.

A good fuel management system will send fleet managers updated reporting and alerts to stay informed of vehicle fueling and, when present, possible theft.  A fuel management system will greatly minimize the time you spend on administrative tasks and monthly (if not more frequently) reporting needs.
